Privacy policy

This policy explains what personal data Turno Virtual® handles when you use the portal www.turnovirtual.com, why, where it is stored, who else receives it, how long it is kept and how to reach us. It restates what the Terms and Conditions already set out.

What we collect

  • Account and user data: the names and email addresses of the people who use the portal (owners, administrators, professionals, assistants) and what they need to sign in.
  • Data the customer loads: the institution or company that hires the service (the customer) loads its schedules and appointments, and the names, contact and identity data of the people it books, their health insurance coverage where the account records it, and any notes it writes about them.
  • Billing data: the fiscal data needed to invoice the service.
  • Activity and technical data: a record of the actions taken on the account's records (who booked, moved or changed an appointment, and when), which the customer's users see in each appointment's Actividad, and the IP address and browser of a visit that hits an error or a warning.

How we use it

We use this data only to provide the service, for example to send appointment notifications. It is not used for any other purpose. Outside the platform it reaches only the providers that run parts of the service for us, listed below, and the systems a user decides to connect (see AI assistant connections).

Turno Virtual® provides the platform empty of data: the customer is solely responsible for the quality, completeness and accuracy of the data it loads. That data can be accessed by the customer's own users (assistants, professionals, administrators), and Turno Virtual® is not responsible for misuse of it by them.

Where it is stored

The data is stored on servers at Contabo in the United States. A copy, refreshed from them several times a day, is kept on Contabo servers in Germany. It lets customers still check their appointments if the servers in the United States go down, and we use it to run each release candidate of the portal before it goes live.

Who else receives it

These providers receive data, each for the part of the service it runs:

  • Contabo: hosting, databases and backups.
  • Google: signing in with Google, the email the platform sends, which goes through Google's mail servers, and the map of a branch's address.
  • MercadoPago and PayPal: online payments, under their own terms.
  • AFIP/ARCA, the Argentine tax authority: the data on the invoices we issue.
  • Content delivery networks (cdn.datatables.net, cdn.jsdelivr.net, cdnjs.cloudflare.com and releases.transloadit.com) and Google Fonts (fonts.googleapis.com): they serve some of the scripts, styles and fonts the portal loads, so your browser contacts them when it opens the portal.

How long we keep it

  • We take a full backup of all data every day and store it in two different places. Backups are kept for 10 days and then deleted.
  • The activity record is kept as long as the account exists, like the rest of its data. Errors and warnings, the only records that hold an IP address or browser, are kept for 30 days.
  • If you need an earlier state of a record that is still in a backup, write to support to look into the case; restoring it may carry an extra cost.
  • You can cancel the service at any time by writing to support. It ends when the period already paid expires.
  • If the service is not paid, Turno Virtual® takes it as a wish to cancel, which may lead to the full deletion of the account, including the data entered so far: appointments, messages, schedules, users and so on.

AI assistant connections

A user can connect an AI assistant or another system to their account, with an API key or by signing in from the tool and allowing it on the Conectar screen. A connection made with a personal key or by signing in acts as that user, with what their own role allows, and nothing more. A personal key acts only in the account where it was created. A connection made by signing in acts in every company or branch the user works in and whose plan offers it, with the role the user has in each:

  • It reads what that user can see: their schedules, free slots and blocked slots, and the appointments in them, with the client's name, identity, email and mobile number and, on accounts that record them, the practice booked and the health insurance coverage with its member number.
  • It can book appointments, move them, change their status (for example confirm or cancel them) and create, change or delete blocked slots, only where that user can do so in the portal.
  • A key that belongs to the whole account, rather than to a person, reads the whole account's schedules and appointments, and only reads.

The data the connection accesses reaches that system because the user decided to connect it, and its use there is the user's responsibility and falls under that provider's terms. The user can disconnect it at any time from the portal, under Mi perfil. An owner can remove any API key of their account, including a team member's personal key, and with it that key's connection. A connection made by signing in belongs to the user rather than to an account: what it reaches follows the user's status, role and membership in each account, so it stops acting in an account when the user can no longer sign in there or leaves it, and acts with the new role when the user's role there changes.
